Job Summary
The Stewardship Coordinator plays a crucial role in supporting fundraising efforts, donor stewardship, and community engagement to strengthen Hutton Settlement. This position is responsible for donor communications, database management, grant tracking, and relationship-building with corporate sponsors, annual donors, and community partners.

The Stewardship Coordinator works closely with the Director of Community Engagement & Stewardship and Executive Director to enhance donor retention, and assist with fundraising campaigns. This role requires strong organizational skills, attention to detail, and excellent communication abilities to support fundraising initiatives and donor engagement.

This is a part-time, hourly (non-exempt) position. Some evening and weekend availability is required for Hutton events.

Responsibilities

Fundraising & Donor Stewardship

  • Assist with donor communications, including thank-you letters, impact reports, and email updates.
  • Support donor database management, ensuring accurate records of contributions and engagement.
  • Perform donor stewardship tasks, including follow-ups, engagement tracking, and recognition efforts.
  • Assist with prospect research, grant tracking, and funding opportunities.

Data Management & Reporting

  • Use established organizational protocols—and good judgment to help establish new ones for donor and community engagement tracking.
  • Create new accounts in the donor database and ensure complete, accurate records.
  • Log interactions such as emails, meeting notes, and donor touchpoints to track engagement.
  • Build out donor and account relationships by adding photos, notes, and links to accounts as appropriate.
  • Perform ongoing and periodic data hygiene checks, including running reports, correcting errors, updating addresses, and marking records as deceased or inactive.
  • Generate reports and insights to support fundraising strategies and donor cultivation.

Event Planning & Community Engagement

  • Support the planning and execution of fundraising and donor engagement events (e.g., Hope at Hutton Showcase, Tree Farm Fundraiser, Open Houses).
  • Support volunteer management efforts in collaboration with Hutton’s Program Director.
  • Represent Hutton at community events and networking opportunities.
  • Assist CE&S with community and potential donor tours.
  • Assist CE&S with coordination of seasonal events (e.g. Achievement Dinner, Christmas gift coordination).

Marketing & Communications

  • Collaborate on social media content, newsletters, and promotional materials to engage donors and the broader community.
  • Assist in gathering stories, photos, and testimonials that highlight Hutton’s impact.

Administrative Support

  • Maintain organized records of donor and sponsor interactions.
  • Support bulk and regular mailings, including tax acknowledgements.
  • Provide general support to the Director of CE&S and Executive Director as needed.

Qualifications:

  • Bachelor’s degree in a relevant field (such as Nonprofit Management, Communications, Business, Public Relations, or a related discipline) preferred, or an equivalent combination of education and relevant experience.
  • 2+ years of experience in fundraising, donor relations, nonprofit administration, event coordination, or a related field is strongly preferred.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks efficiently.
  • Excellent written and verbal communication skills, including the ability to craft donor communications and engagement materials.
  • Experience with donor databases, CRM systems, or similar data management tools preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with social media and email marketing platforms.
  • Ability to work both independently and collaboratively within a team environment.
  • Availability to work occasional evenings and weekends for events.

Job Type: Part-time

Pay: $22.00 - $24.00 per hour

Expected hours: 20 – 30 per week
